Example: a scanned attachment exceeds an upload limit
An upload form accepts PDFs under 1 MB, but your scan is larger. Start with Best Quality and compare the result with the form’s limit. If lossless compression is insufficient, try Balanced on the original and inspect names, numbers and small text before deciding whether to upload it.
Can every PDF be compressed below 1 MB?
No. The smallest acceptable result depends on how many pages the file contains, its image resolution, existing compression and the quality your recipient requires. This tool can reduce eligible content, but it does not guarantee a 1 MB download.
There is no exact-target-size control. A short scan may have room for image savings; a long, already optimized report may not. The correct result is both small enough for the destination and clear enough to use.
Check what the upload form actually requires
Read the form’s instructions before changing your document. A size limit might apply to each attachment, to the combined upload, or to a particular file type. A PDF-only field will not accept a ZIP merely because the archive is smaller.
Limits described as MB can use decimal or binary byte counts. If a form rejects a borderline result, aim comfortably below the displayed threshold rather than assuming a rounded size of 1.00 MB must pass. Check whether all pages must be submitted together.

- Upload the checked download rather than the original. Retain the source in case the recipient requests a clearer copy.
Choose size savings without hiding important detail
Text and vector elements remain PDF content. Balanced and Maximum focus on eligible images; images with unsupported color spaces or masks may keep their original data. A large PDF therefore may not shrink as much as its size suggests.
Compare the download at the magnification the recipient will use. A document that fits the upload limit but has unreadable account numbers or a blurred certificate stamp does not meet the underlying purpose. Avoid repeatedly compressing a compressed copy; retry each mode from the original.
What if the limit is 200 KB or 500 KB?
The same process applies, but stricter limits leave less room for detailed scans. There is no guaranteed 200 KB or 500 KB output. Compare actual bytes and review quality at each attempt.
If the result is still too large, remove unnecessary pages only when the recipient permits it, or extract the required section. Page removal is a content decision rather than an image-quality setting. If every page is required, ask the recipient about alternative submission methods or create a more efficient scan from the source.
When compression does not solve the limit
- No savings: the PDF may already be optimized. Lossless mode may have nothing useful to reduce.
- Original kept: the rewritten result was not smaller, so the tool retained the original bytes.
- Image detail is poor: use a less aggressive mode or return to a clearer source; compression cannot restore missing detail.
- File is rejected: check the actual download, accepted file type, password protection and whether the limit covers all attachments.
- Signed document: rewriting invalidates a digital signature. Use an unsigned source copy and follow the recipient’s signing requirements.
Keep the original and check the final upload
